Job Summary

An Operations Assistant is here to help the customer get information and keep things organized between departments. You'll be on the phone a lot working with customers, vendors, communicating with vendors, internal staff, and customers. You'll be running reports out of programs and assisting upper management with operational tasks. 

Responsibilities and Duties

  • Helping ensure internal staff is resolving customer issues in a timely fashion.
  • Proactively reach out to customers when technicians cannot reach them.
  • Store data and organize data across systems and maintain them.
  • Assist management in tasks.
  • Follow up on tasks and ensure goals are met in a timely fashion.
  • Keep systems and information organized.

Qualifications and Skills

  • Have a sense of all aspects of IT, including hardware, software, technology, etc.
  • Experience working in healthcare, long term care, nursing homes, etc.
  • Are able to work in a fast paced environment with a high sense of urgency.
  • Dress professionally on a daily basis.
  • Comfortable working with time tracking tools, updating tickets from computers or mobile devices.
  • Are outgoing, friendly, and ready to start everyday with a positive attitude.
  • Patient and enjoy solving tough problems. You take pride in explaining and helping others understand problems and solutions.
  • Are an exceptional communicator and you treat people kindly while gracefully break down, solve, and explain, even the most complex problems.
  • Can de-escalate a tense situation with ease and grace—working through a tough issue or bug with an upset customer not only doesn’t scare you, it’s a challenge you’re eager to take on.
  • You understand our customer base, and don’t mind updating a ticket or jumping on an emergency conference call after normal business hours if we need you.
  • You're a hard worker with a history of getting things done carefully and efficiently. You’re thorough—no detail go unnoticed. You’re self motivated, but also enjoy contributing to a team.
